Frequently asked questions

Plans, the client portal, balances, events, reports and reminders.

Subscription & Premium

Which plans are there, and is there a free trial?

Two plans that renew automatically: "Monthly" and "Annual" — the Annual tile shows how much you save. If you've never had it before, you can also take one month free ("1 Month Free"): once per account, no card required. The free month doesn't renew and never charges you — when it ends, the app goes view-only until you subscribe. To start, tap "Start Free Trial", "Subscribe" or "Renew" on the subscription card in your Profile; the subscription screen also opens when you try something that needs Premium.

What can I do without Premium?

Without Premium the app is view-only: you can still open your calendar, clients, payment history, expenses and reports, and your clients' portal links keep working. Adding or changing anything — events and their status, clients and balances, portal links, expenses, cooperation rules, the currency and calendar settings — needs Premium. Always free: your name, your portal contact details, the language, theme, vibration and notifications, your password, logging out of all devices and requesting account removal.

Where do I see my subscription, and how do I cancel or change it?

The subscription card in your Profile shows where you stand: "Renews <date>" while your plan renews, "Active until <date>" if you've turned renewal off or are on the free month, and "Not active" when you have no access. The settings icon on the card opens your subscriptions in the App Store or on Google Play, where you can switch plans or cancel. To avoid the next charge, cancel at least 24 hours before the renewal date. The free month has nothing to cancel — it simply ends.

What happens after I cancel?

You keep Premium until the end of the period you've already paid for, and then the app goes view-only. Nothing is deleted: everything you've saved stays, and subscribing again unlocks it. If Apple or Google refunds a payment, Premium ends right away.

How are payments and refunds handled?

All payments go through your App Store or Google Play account — we never see your card details. Refunds and billing questions are handled by Apple or Google under their rules, and we can't issue refunds ourselves, so please contact their support.

I changed phones or reinstalled the app — where's my subscription?

It belongs to your Syncoly account, not to the phone: sign in to the same account and Premium is back. If it doesn't show up, open the subscription screen and tap "Restore Purchases".

Client Portal

What is the client portal?

A web page for each client with their schedule, balance and payment history. It opens in any browser — your client doesn't install anything or sign in. You send it from the "Portal" tile on the client's screen. Whatever you change in the app is there the next time your client opens or refreshes the page.

What does a client see on the portal?

Their events for the previous, current and next week, with time and status; their balance (a minus means they owe you); their cost per service, if it isn't zero; and the latest 30 entries of their payment history. Events that show "Canceled by you" in your app appear to the client as "Canceled by the organizer".

Which language and time zone does the portal use?

Times are shown in the time zone of whoever opens the page, and the page names it. The language follows that person's browser, and the flag buttons switch it.

Can a client contact me from the portal?

Yes, once you fill in Profile → Professional Settings → Your contact details: name, phone, email, address and website. They appear under the "Contacts" link at the bottom of the portal, and your phone also becomes a "Contact" button at the top for a one-tap call. Editing these details doesn't need Premium.

Can I publish my rules — payment terms, cancellation policy?

Yes: Profile → Professional Settings → Cooperation rules (needs Premium). Add up to 15 rules, each with a short heading — payment deadlines, cancellation notice, lateness. They appear under the "Cooperation rules" link at the bottom of every client's portal, exactly as you wrote them, and are never translated, so write them in the language your clients read. In the text, an empty line starts a new paragraph, and a line starting with "- " or "1." becomes a bullet point. Tap the eye icon to preview.

Clients & Finances

How does a client's balance work, and how do I record a payment?

The balance shows where you stand with the client: positive means they've paid ahead, negative means they owe you. When you add a client, you can enter a starting balance if they've paid in advance. The balance goes down when you complete an event with them, or charge them for an absence or a cancellation. When a client pays you, or something needs correcting, tap "Adjust Balance" and choose "Add" or "Deduct" — that's also how you enter a debt. Every change appears in the client's Payment History; the ones you make with "Adjust Balance" show as "Balance Top-up" or "Balance Deduction".

What happens when I change a client's Service Cost?

The Service Cost is what a client is charged for an event. A new price applies to events you complete or charge from then on; charges already made keep their amount. To charge a different amount for one event only, change it in the confirmation instead. Projected Income uses the new price straight away.

Where do I see a client's history?

On the client's screen, Payment History shows the latest entries — tap "All" for the full list: charges for events with their date and time, charges for absences and cancellations, returned charges, charges you changed manually, and your top-ups and deductions.

How do I send a client their portal link, or take it back?

Open the client and tap the "Portal" tile: copy the link, share it through any app, or open the portal yourself to check it. To cut off access, choose "Regenerate portal link" there (needs Premium) — the old link stops working at once, and you send the client the new one.

What happens when I delete a client?

Their completed and canceled events stay, with their charges, so your earned income doesn't change — and those events can no longer be deleted. Events with this client that were never completed or canceled, past ones included, are deleted if the client was the only one on them; on a group event the client is just removed from the list. They're also taken out of recurring series, and a series left with no clients stops. Their portal link stops working. Deleting a client can't be undone.

Where can I find deleted clients?

Tap the archive icon at the top of the Clients screen. Deleted clients are listed newest first, with the date they were deleted. Opening one shows their contacts, Service Cost, balance at deletion, Payment History and notes — read-only. A deleted client can't be restored.

Calendar & Events

What do the event statuses mean?

A new event is "Scheduled". You close it by marking it "Completed" (once it has started) or "Canceled". You'll also see two more labels: "Rescheduled" is a scheduled event you moved to another time, and "Canceled by you" is a canceled event where you turned on "Canceled by me" — you called it off, not the client. Only Scheduled and Rescheduled events can still be changed.

How do recurring events work?

When you create an event, choose Repeat: "Daily", "Weekly" (on the same weekday) or "Monthly" (on the same date — months without that date are skipped). A series has no end date. To end it, open the first event you no longer want, tap the trash icon and choose "This and following events": earlier events, and every completed or canceled one, stay.

What happens when I move an event?

Change its time on the event screen, or drag it in the calendar. A one-off event, or a recurring one moved with "This event only", becomes "Rescheduled".

How do I complete an event, and when is a client charged?

Tap "Complete event" once the event has started — a future event can't be completed. Every client marked present is charged their Service Cost, and the confirmation shows each amount before you confirm. To charge someone a different amount just this once, tap the pencil next to it: their Service Cost stays the same, and the entry in Payment History, and on the client's portal, shows "Changed · instead of" and the usual price. If someone didn't come, mark them absent first: tap the three dots next to their name, then "Mark as absent". Absent clients are charged only if you turn on "Also charge absent clients".

What happens when I cancel an event?

Nobody is charged unless you turn on "Charge clients" — for example, for a late cancellation. As when completing, the pencil next to an amount changes it for this event only. If you called the event off yourself, turn on "Canceled by me — don't count as missed by the client" instead: the event shows "Canceled by you" and is left out of your clients' activity — it counts neither as a miss nor as an attended event. In your reports, every cancellation nobody was charged for, yours included, counts as lost income and is listed under "Canceled (Not Charged)".

Can I change an event after completing or canceling it?

Only its notes — and you can delete it. A completed or canceled event can't be reopened or switched from one to the other, and its time, title, clients and attendance are locked. Marked it by mistake? Delete it — anything charged goes back to the clients' balances — and add the event again. If one of its clients has since been deleted, the event can't be deleted; if all of them have, even the notes are locked.

What happens when I delete an event?

A scheduled event simply disappears. A completed or canceled one also disappears from your reports, and anything the clients were charged for it goes back to their balances — the entry stays in their Payment History, marked "Charge returned to balance". For a recurring event you choose "This event only" or "This and following events".

Expenses & Reports

What do Actual, Projected and Lost income mean?

Reports show one month at a time: "This Month", "Last Month", or any earlier month under "Custom". Actual is what you charged clients for that month's events: completed events, plus absences and cancellations you charged for. Projected is what your scheduled events from today to the end of the month will bring at each client's current Service Cost, so past months have none. Lost is absences and cancellations nobody was charged for, including events you canceled yourself, and charges you set to 0.

Does a payment from a client count as income?

No. A payment you enter with "Adjust Balance" only changes the client's balance. Income comes from events: it counts when you complete an event, or charge for an absence or a cancellation — whether the client paid ahead or still owes you.

What happens to an event I forgot to mark?

Once its day is over, a scheduled event drops out of Projected Income and isn't counted in Actual or Lost until you mark it Completed or Canceled — the daily reminder helps you catch it. Until you do, it lowers your Efficiency in the Monthly Comparison.

How does the Monthly Comparison work?

It shows three full months: with "This Month" selected, the three before it; with an earlier month selected, that month and the two before it. For each month it compares your Actual income with Potential Income — what all of that month's events would have earned if every client had come and paid. Tap a month to see Efficiency: the share of that potential you actually earned.

What do Event Statistics and Client Activity show?

Both are under Reports → Clients. Event Statistics counts the month's completed and canceled events; "Canceled (Charged)" means at least one client was charged. Events that are still scheduled aren't counted. Client Activity shows, for each client, the events they attended and their absences and cancellations, with an attendance percentage — the clients who miss the most come first. Events you canceled with "Canceled by me" are left out of Client Activity — neither a miss nor an attendance — while Event Statistics counts them under "Canceled (Not Charged)".

How do expenses work?

Add them under Reports → Income → Expenses, for the month you're viewing. An expense is either "Fixed amount" or "% of income" (a share of that month's actual income). The card shows Net After Expenses: your actual income minus all your expenses. Adding and editing expenses needs Premium.

Do I have to re-enter regular expenses every month?

No — turn on "Repeat monthly" when you add or edit an expense in the current month, and it's carried into each new month automatically. To stop it repeating, delete it or turn "Repeat monthly" off in the current month: it won't come back in the months that follow. Each month keeps its own list: if your rent goes up, edit it in the current month — earlier months keep the old amount, and the new one carries forward.

What happens to my reports when I delete an event or a client?

Deleting a completed or canceled event removes it from every report, and its charges go back to the client's balance — so that month's actual income goes down. Deleting a client doesn't change your income: their completed and canceled events stay in your reports and can no longer be deleted. Only their events that were never completed or canceled disappear, and with them their share of projected and potential income.

Daily Reminders

What is the daily reminder, and when does it come?

If some of today's events are still "Scheduled" or "Rescheduled" — not marked Completed or Canceled — Syncoly sends you one notification about 1–2 hours after the last of them ends, so you can close the day. Events from earlier days don't trigger it.

Which devices get it, and in which language?

Every device where you're signed in and have allowed notifications. It arrives in the language you last used Syncoly in, on any of your devices.

How do I turn reminders off?

The daily reminder is the only notification Syncoly sends, and it needs notification permission on your phone. The "Push Notifications" switch in your Profile opens your phone's notification settings — turn notifications off there to stop reminders on that device. Your other devices keep getting them until you turn them off there too, or log out.

Profile & Settings

Can I change my email?

No — the email you signed up with can't be changed. The email your clients see on the portal is separate: set it under Profile → Professional Settings → Your contact details. Your name is changed under Profile → Edit Profile. Neither needs Premium.

Which language does the app use?

At first, the app follows your phone's language where it can. You can choose English, Ukrainian, Romanian or French under Profile → Language; each device keeps its own choice. On a new device where you haven't picked one, the app switches to the language you last used Syncoly in once you sign in — the daily reminder arrives in that language too.

Which time zone does Syncoly use?

Your calendar shows times in your phone's current time zone. Your account also keeps the zone your phone was in when you created it: that one decides when "today" begins for the daily reminder and for Projected Income. It doesn't change when you travel, and there's no setting to change it.

Account & Security

How do I create an account?

Sign up with your name, email and password. We'll email you a 6-digit code — enter it and you're in. The code is valid for 12 hours; if it doesn't arrive, tap "Resend". You can also continue with Google, or with Apple on iPhone, without a password.

I already have an account. What happens if I sign in with Google or Apple?

If your Google or Apple account uses the same email as your Syncoly account, you're signed in to that account — no second account is created. Two exceptions. If you started signing up with that email but never entered the code, sign in with that email and password first: you'll be asked for the code, and can tap "Resend" for a new one. If you chose to hide your email when signing in with Apple, Apple gives us a different address, so a separate new account is created — sign in the way you created your account instead.

Why was I signed out?

You stay signed in as long as you open the app at least once every 30 days. You're also signed out on all your devices when you change or reset your password, or tap "Log Out of All Devices".

How do I change or reset my password?

To change it, open Profile → Edit Profile → Change Password and enter your current password. If you've forgotten it, tap "Forgot password?" on the sign-in screen and we'll email you a code to set a new one (it's valid for 1 hour). A password needs 8–128 characters, with an uppercase and a lowercase Latin letter and a digit. Afterwards you're signed out on all your devices and sign in again with the new password.

I signed up with Google or Apple — how do I add a password?

An account created with Google or Apple has no password, which is why Edit Profile shows no "Change Password". To add one, write down the email shown at the top of your Profile (if you hid your email when signing in with Apple, it ends in @privaterelay.appleid.com). Tap "Log Out", then "Forgot password?" on the sign-in screen, and enter that email. Enter the code we send you and choose a password. From then on you can sign in either way.

Can I use Syncoly on several devices?

Yes — sign in to the same account and you'll see the same calendar, clients and reports on each of them. "Log Out" signs out only the device you're holding, and reminders stop coming to it. "Log Out of All Devices" (Profile → System Settings) signs you out everywhere. Language, theme and vibration are set on each device separately.

How do I delete my account?

Open Profile → Edit Profile → Request Account Removal. If your account has a password, enter it to confirm; you can also tell us why you're leaving. Nothing is deleted straight away: your Profile shows "Account removal in progress" with a "Cancel" button, which works until your request is processed. Our team will contact you within 14 days, and once the request is processed, your data is permanently deleted. A removal request doesn't cancel your subscription — cancel it yourself in the App Store or on Google Play.
